Stearns Weaver Miller, a full-service commercial law firm serving clients throughout Florida; is seeking a full time Corporate Legal Secretary with a minimum of 3 years of transactional experience in mergers & acquisitions and securities to work from our Downtown Miami office. Responsibilities
- Format, type and proof complex legal documents using CompareRite or other redlining applications
- Manage internal and client deadlines
- Prepare and edit correspondence, minutes of meetings and other legal documents from written, oral and dictated sources
- Maintain and properly close and/or purge files; scan and file Firm and Client correspondence and legal documents into I-Manage
- Prepare new business records, engagement letters
- Input and edit attorney's time and review pre-bills
- Schedule meetings and make travel arrangements
- Answer telephone, distribute messages; set up conference calls; send and receive emails and faxes; resolve issues as needed; open, sort and distribute mail
- Reconcile expense reimbursements; process check and petty cash requests
- Maintain attorney's calendars; schedule inside and outside meetings; reserve conference rooms; order food and/or refreshments
Qualifications
- Minimum of 3 years of legal secretarial experience in Corporate
- Must have excellent proofreading, document formatting and redlining skills
- Must pay close attention to detail and be extremely organized
- Excellent written and oral communication skills
- High degree of initiative and ability to plan, prioritize and manage multiple tasks
- Must be punctual and reliable
- Ability to work in a fast paced team environment
- Flexibility to work overtime
- Microsoft Office 2016 knowledge with Excel, Outlook and advance knowledge of Word functions
- Familiarity with using an electronic document management system, such as I-Manage
