The Position:

The Sir Robert Woodard Academy provides extensive opportunities for learning outside of the classroom, and extracurricular activities. Within any academic year there are multiple day visits and residential trips, each one requiring complex and detailed administrative support. In addition, the academy runs a full programme of extracurricular enrichment activities. Some of these events happen within a regular calendar cycle, and some are new and unique opportunities that require setting up from the beginning.

It is important for the Educational Visits and Extracurricular Administrator to work closely and effectively with teaching staff to ensure the successful outcome of each trip. You will be able to articulate and sensitively deal with a variety of situations with teachers, pupils, parents and a variety of other professionals both in the UK and abroad. The ability to be clear and assertive whilst remaining calm, composed, tactful and flexible will be essential. Liaising with parents and pupils to ensure their happiness and welfare on the trips is also important as some children will require special assistance and extra organisation to enable them to go on a particular event.

The key responsibilities of the Educational Visits and Extracurricular Administrator will be for the administration, organisation and smooth running of all trips and educational visits that take place in school, and all extracurricular activities that occur outside of the core school hours. This is a busy and varied role and requires someone who is excellent at multitasking and can stay calm under pressure, whilst being able to make informed decisions. The post also requires a flexible approach in terms of work, changes and participation, and therefore the ability to act on one’s own initiative, where appropriate.

Hours: 20 per week, Monday to Friday, 4 hours per day

Salary: Actual starting salary £11,457pa

The Sir Robert Woodard Academy requires an enthusiastic and committed colleague to administer educational visits and extracurricular activities for all year groups, including sixth form. The ideal candidate will be a highly skilled administrator with excellent attention to detail and organisation skills. Applicants should be able to prioritise effectively, manage a varied workload and meet multiple demands and deadlines. They will also need to be able to work under pressure, whilst remaining patient, polite and calm at all times. The successful candidate will have excellent interpersonal, written and oral communication skills with the ability to field all enquiries with speed, tact and efficiency. They will have the ability to follow tasks to completion through strong time management skills and will be a team player who can take direction and work in cooperation with staff across a diverse workforce. The successful role holder will have good financial acumen, numeracy skills and a high level of IT skills (including good proficiency with Excel) and be able to evidence GCSE passes in English and Maths. Finally, an understanding of the need for sensitivity, confidentiality and knowledge of GDPR is essential.
