Position Purpose:The Bideawee Manager of Volunteer Programs will be a critical and public-facing part of the team that acquires, retains and deploys volunteers at their site. This individual will participate in the development of key strategies and tactics to increase volunteer participation in all of the organization’s volunteer-based programs (i.e. Adoption Center, Events, Corporate, Pet Therapy, Foster). This individual will be a member of the Volunteer Team and be required to collaborate with individuals within and outside this team. To be successful, the Manager of Volunteer Programs will be required to not simply implement programs, they must have the capability to generate ideas and find innovative ways to acquire, retain and motivate current and future volunteers. This individual will be given the responsibility of determining how to best utilize the volunteer assets to satisfy the needs of the various departments. The Manager of Volunteer Programs must have experience and be comfortable proactively engaging and supervising volunteers and have success quickly establishing a productive rapport and relationship with new and existing volunteers. The Manager of Volunteer Programs will be responsible for upholding the standards of the organization and will need to demonstrate attention to detail, the ability to follow direction and the capacity to inspire volunteers to action and commitment.The Manager of Volunteer Programs reports to the Director of Volunteer Programs and will play a critical role in the organization achieving success through the activation and utilization of volunteer resources. In this role, the individual will need to demonstrate organizational awareness and be comfortable communicating across the organization to solicit feedback on the effectiveness of programs or articulate the intent and anticipated benefit of volunteer initiatives. It is critical that the Manager of Volunteer Programs can prioritize initiatives and workload and have the wherewithal to articulate priorities to others within the organization when necessary. Comfort communicating about protocols and disciplinary action with individuals verbally is necessary to be successful. Ability to create reports and read data, create and deliver presentations and send concise and thoughtful emails is required. An ability to master the volunteer management software system (Better Impact) is a requirement as is a working knowledge of basic computer programs (Word, Excel, PowerPoint). To be successful, an individual must be able to develop a plan for their specific area of responsibility and ensure that it can be seamlessly integrated into the master plan for the organization. They must be flexible to change course and goals based on the needs of the organization.Responsibilities/Duties/Functions/Tasks:- Execute the strategy to recruit, train, schedule, retain and recognize volunteers across all aspects of the volunteer program for over 150 volunteers (and growing!) (Adoption Center, events, corporate, pet therapy, etc.).
- Participate in the development of orientation, training and performance standards for the volunteer part of the organization and facilitate onboarding, orientation, trainings, celebrations, and evaluations for the assessment and growth of Bodeawee’s volunteer program.
- Works with team members to administer a volunteer program that identifies volunteer skill set and matches them with the appropriate areas.
- Monitor the morale of the volunteer base and create an open and honest culture based on continual dialogue.
- Understand departmental needs and allocate and track volunteer resources to ensure that resource allocation aligns with organizational and departmental needs.
- Liaise with the community and participate in onsite and offsite adoption events.
- Research and establish contact with new partners to increase the organization’s reach within the communities that Bideawee serves through new events, pet therapy, etc.
- Identify, recruit for, and facilitate Bideawee’s Corporate Volunteer program.
- Establish and maintain the professional relationships with external partners (i.e. Pet Partners).
- Properly manage all aspects of identifying and filling any volunteer opportunities by collaborating with individual departments.
- Support and execute events by staffing and fulfilling the operational requirements of events.
- Communicate with volunteers and staff in a timely fashion.
- Arrange and conduct tours for groups as required.
- Produce reports on volunteer allocation, hours and productivity.
- Maintain necessary files containing applications, forms, and trainings.
- Understand and be able to perform and train volunteers in the several aspects of the volunteer roles needed.
Qualifications- 2 years of experience working with volunteers in a related area: Community engagement, outreach, team leadership
- Ability and/or experience working with and designing programs for adults and/or seniors – additionally with teens a plus.
- Experience in partnership building and program implementation and analysis
- 2 years of supervisory experience including experience celebrating successes and taking disciplinary action when needed
- Customer care focused with an approachable demeanor
- Working knowledge of Word, Excel and PowerPoint
- Ability to organize and prioritize multiple projects
- Experience engaging individuals at various levels across multiple areas of an organization
- Demonstrated oral and verbal communication skills
- Willingness to work in the adoption center in a hands-on capacity when needed
- Must have a comfort level working with and around cats and dogs
- Good communications skills, interpersonal skills and negotiation skills
- Partnership building experience at a corporate or community level
- Knowledge of program management principles, strategic thinking and leadership
- The ability to work independently as well as collaboratively to support the organization’s goals and strategies
- Ability to work well with and inspire others
