Position Overview: 

The Real Estate Practice Assistant plays a critical role in supporting attorneys and paralegals within a law firm’s real estate practice. This position involves managing day-to-day administrative tasks, preparing legal documents, coordinating real estate transactions, and ensuring that all activities are in compliance with legal and regulatory standards. The ideal candidate will have experience working in a law firm environment, particularly within a real estate practice group, and possess a strong understanding of real estate law and procedures. This position offers hybrid remote 2-3 days per week.

Responsibilities:

    • Document Preparation & Management:
    • Draft, format, and proofread legal documents, including purchase agreements, lease agreements, deeds, title documents, and closing statements.
    • Organize and maintain files, ensuring all documentation is accurate, complete, and easily accessible.
    • Transaction Coordination:
    • Assist attorneys with the coordination of real estate transactions, including acquisitions, dispositions, leases, and financings.
    • Schedule and prepare for closings, ensuring all necessary documents are prepared, reviewed, and executed.
    • Communicate with clients, title companies, real estate agents, lenders, and other parties involved in the transaction to facilitate smooth and timely closings.
    • Client & Case Management:
    • Manage client communications, responding to inquiries and providing updates on case status.
    • Maintain client files and databases, ensuring all information is up-to-date and compliant with firm policies.
    • Assist in managing attorney calendars, scheduling meetings, and coordinating travel arrangements as needed.
    • Research & Compliance:
    • Conduct legal research on real estate matters, including zoning laws, property records, and regulatory requirements.
    • Ensure all real estate transactions comply with state and federal laws, as well as firm policies and procedures.
    • Billing & Administrative Support:
    • Assist with timekeeping and billing processes, including entering attorney billable hours and preparing client invoices.
    • Provide general administrative support, including answering phones, managing correspondence, and ordering office supplies.
