We are seeking a highly organized and detail-oriented Administrator to join our Standards & Certification team. This role will provide day-to-day administrative support to our internal staff and customers, focusing on the certification and accreditation process. Under the direct supervision of the Manager of Administration, you will play a key role in ensuring timely and accurate processing of customer requests, managing communication, and maintaining system reports. Responsibilities include:

Customer Support & Communication: 

  • Respond to and manage all incoming calls, voicemails, and emails related to certification and accreditation requests.
  • Assist customers by addressing inquiries and providing clear, professional resolutions.
  • Maintain an organized electronic filing system for all incoming and outgoing correspondence.

  System & Report Management:

  • Generate daily system reports and manage the task assignment process to ensure timely processing of customer requests.
  • Perform daily maintenance on customer accounts to ensure they remain up to date.
  • Report system issues to IT/helpdesk and business analysts as needed.

  Certification & Application Processing:

  • Review and verify applications for new companies and renewals, ensuring compliance with ASME requirements.
  • Process new company certifications and renewal applications, using generated system reports.

  Account Maintenance & Change Requests: 

  • Manage change requests by engaging with relevant parties (Certified companies, Authorized Inspection Agencies of record, jurisdiction, internal staff) to maintain certification status and avoid production delays.

  Reporting & Collaboration:

  • Track and report on the status of assigned tasks in the task matrix.
  • Provide regular updates on progress and pending tasks during one-on-one meetings with the Manager, Administration.

The ideal candidate must have a minimum of three years of administrative, communications, and database entry experience in a similar role.  Candidate must possess:

  • Ability to prioritize tasks, troubleshoot issues, and follow instructions to maintain smooth operations for customer accounts.
  • Strong written and verbal communication skills.
  • Familiarity with basic data entry software and tools.
  • Strong attention to detail and follow-up skills.
  • Ability to work independently with minimal supervision and initiative to solve problems.
  • Technical communication skills are a plus.

In addition, candidates must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat and Zoom for video conferences and internal instant messaging.  Experience with basic data entry and customer relationship management software.

This role is eligible for remote work arrangement.

Annual base salary may vary based on geographic location. The New York City metro and Washington DC salary range for this position is estimated to be between $51,000 – 55,000 per year.
