Description
The Contract Administrator will assist in the administration of contract and risk management processes to ensure compliance with company policies and legal requirements. This role involves supporting the Operations and Project Teams in maintaining accurate records, facilitating communication between stakeholders, and helping to mitigate risks associated with contractual agreements. The ideal candidate will have strong organizational skills, attention to detail, and a basic understanding of contract principles.
Essential Duties & Responsibilities
- Assist in the development and review of internal and external contracts, ensuring compliance with company policies and legal requirements.
- Collaborate with internal teams and external stakeholders to facilitate contract execution.
- Prepare and edit contract drafts and amendments, under the supervision of senior management.
- Enforce company procedures to ensure all necessary approvals are obtained during the contract review and signature process.
- Develop and implement risk management strategies and processes.
- Maintain accurate records of all contracts, agreements, and related documentation. Identify and raise awareness of risk items that need attention such as approaching contract expiration dates.
- Monitor contracts and insurance certificate expiration dates to assist in ensuring teams are managing appropriately to avoid risk exposure.
- Create reports and analyses regarding contract performance and compliance.
- Develop new processes and procedures to improve efficiencies in development and review of new contracts.
- Administer systems and software used in the development and management of contracts and other related documentation.
- Participate in training and professional development opportunities to enhance contract management skills.
- Develop and maintain Kickoff/Quarterly/Closeout Action Items for all programs.
- Schedule risk review meetings with Project Teams.
- Administer document control measures including form version control and file organization for the Operations Team.
- Assist with logistics planning and organization to support the HPM Training program.
- Risk Dashboard Review & Maintenance.
- Review missing assessments and remind division heads/PMs of overdue submissions.
Qualifications
- Bachelor's degree in business administration, law, finance, or a related field.
- Strong analytical and organizational skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, DocuSign, and other contract management software.
- Ability to work effectively in a team and independently.
- Detail-oriented with a commitment to accuracy and precision.
- Basic understanding of contract law and procurement processes.
- Willingness to learn and adapt in a fast-paced environment.
