Overall expectations

The Human Resources (HR) Director is responsible for providing the management and leadership for the HR functions of Green Lake Conference Center. As a partner to the senior management team, the HR Director will provide human resource planning, recruiting, onboarding and retention, employee training and engagement. The HR Director will also manage functions including but not limited to compensation, benefits, internal communications, conflict resolution, HR policies and procedures and HR compliance.

 

The Director of Volunteer Ministries is responsible for providing the vision, direction and leadership for the volunteer ministry functions of Green Lake Conference Center. As a strategic partner to the senior management team, the Director will provide planning, recruiting, onboarding, retention, training, and engagement of volunteer staff. The Director will also oversee the budget and spending of two retail outlets: Country Store and Troster Arts Center. Since volunteers are also employees, all confidentiality agreements and document handling safeguards apply as stated under HR.

 

 

The position requires a heart for the ministry of GLCC, with the ability to relate well with employees, effectively communicate with diverse personalities, and to efficiently execute administrative detail.  Work is to be done with excellence to aid in carrying out our common objective of “exceeding” guest expectations.

 

Responsibilities – Human Resources (60%)

  • Execute the HR functions in areas including staffing and recruiting, retention and development, compensation and benefits, background checks, communication, and compliance.
  • Collaborate with payroll for employee set up within the Paycor (GLCC’s payroll software), monitor and implement employee changes, determine accuracy of bi-weekly payroll hours and monitor employee hours for ACA reporting.
  • Work in collaboration with department managers to implement talent acquisition, onboarding, training and development, performance management, retention and engagement programs (may include job fairs, social media, proactive interaction with employees, donors and guests).
  • Develop and implement internship opportunities.
  • Implement a standard orientation practice for all new employees which includes relaying our history, values, goals, and safety regulations.
  • Develop, initiate, and document personnel policies, procedures and programs to support organizational goals and objectives including employee handbook revisions.
  • Administer leadership training opportunities.
  • Serve as an advisor to management with regard to employee administration issues, the effective use of human resources, employee engagement and workplace satisfaction.
  • Establish and oversee HR budgets and forecasts.
  • Ensure compliance with all federal, state and local employment and safety laws. (includes, but not limited to ACA reporting, EEO and OSHA reports, PCORI fees, POP and HRA Plan renewals)
  • Oversee the analysis, maintenance, and communication of records required by law or local governing bodies (include, but not limited to health inspection records, alcohol and campground licenses).
  • Develop, oversee, and monitor safety programs, worker’s compensation insurance claims and guest/volunteer accidents.
  • Monitor our general insurance policies and be a liaison to our insurance agents about insurance policies and claims.
  • Maintain and update equipment and vehicle fleet for insurance purposes along with updating license renewals and driver lists and background checks.
  • Oversee our pension plan.

 

Responsibilities – Volunteer Coordinator (25%)

  • Recruit and retain existing effective volunteers for operations teams, Country Store, Troster Art Studio and World Wide Gifts retail outlets.
  • Create opportunities for active recruiting of new volunteers from our guest groups.
  • Ensure staffing levels which guarantees the timely opening of all retail venues as follows: Country Store: Opens Friday before Memorial Day.  Team must be in place one week prior to opening to clean and stock store. Closes the day after Labor Day.  Team must remain in place through the weekend to clean and empty store and transport various items to storage.

WorldWide Gifts: Opens for the season mid-May thru November 1 open at least 3 days per week when conferees are here. November 1 – Mid-May, led by lower season volunteer team to provide open hours for conferences, by request only. Sales and Marketing Team will notify Director in advance to check for available dates.

Troster: opens on the Monday following the Memorial Day weekend.  Closes on Friday closest to August 15.

  • Maintain a Volunteer Manual for each participant which complies with employee guidelines in the general Employee Manual, as well as information which pertains directly to volunteer staff with regards to housing, discounts, local resources, and available planned activities, write cards, etc. 
  • Ensure the timely ordering of badges for new volunteers.
  • Implement a standard orientation practice at the beginning of the summer season for all new volunteers which includes relaying our history, values, goals and safety regulations.
  • Plan appreciation and celebration events.
  • Document and revise job descriptions and procedures as needed to ensure they continue to support the needs of our guests and organizational goals and objectives.
  • Serve as an advisor to management regarding employee behavioral issues, effective employee engagement and workplace satisfaction.
  • Serve as a caring presence with volunteers by being intentionally present at times of grief, illness, celebration and in their daily workplace. 
  • Monitor all applications, emergency contact forms and other confidential files.
  • Make an annual inspection of all volunteer housing in the months prior to their arrival and coordinate with the appropriate departments (Housing and Maintenance) to allow time for repairs and updating as needed.

 

Miscellaneous Responsibilities (15%)

  • Be present in the office to connect with those wishing to contact the President or Vice Presidents when they are out of the office.
  • Prepare for Board of Directors meetings including notices, travel plans, meeting facilities, housing, meal functions, preparation of meeting materials, communication with directors, and expenses reporting.
  • Maintain homeowner records and coordinate annual billing.
  • Prepare and maintain listing of staff housing, rental rates and agreements.
  • Perform other duties as assigned.

Education and Recommended Experience:

  • Bachelor’s Degree in a related field preferred
  • Preferred experience in an HR capacity, HR leadership experience desired
