Dispatcher/Inventory Clerk

This position will be responsible for assisting the Housekeeping Services department by distributing, logging and taking calls from Resort Services, Front Desk, Engineering, and housekeeping reporting unit deficiencies and services needed. Ensure guest requests, service incidents and inventory requests are fulfilled in a timely manner to create a sense of urgency and importance to the experience for our owner and guests by distributing calls to various individuals and following up with completion times.  Ensure all units requiring service are scheduled; assisting the opening manager with checking all housekeeping cleans reports and communicating room anomalies, dispatch all communication between the proper personnel via phone and provide clerical support for the department. The Inventory Clerk/Dispatcher will confer with other departments to coordinate and follow up on all guest related issues.

ESSENTIAL DUTIES AND TASKS: 

• Answer phones in a timely and friendly manner; log and dispatch all communication of relevant information as required.


• Follow up on all requests for service or guest/owner concerns and monitor completion times to assure satisfaction.


• Check daily housekeeping reports; monitor and update daily sheets to ensure all cleaned units are coded properly.


• Ensure inventory is accurately tracked.


• Provide clerical help for the department as needed. 


• Document and track incoming and outgoing inventory.


• Checks quality of inventory obtained from renovated units.


• Audit Inventory (Weekly, Bi-Weekly, as needed) throughout the property.


• Distribute inventory to the runners.


• Create work orders to purchase inventory from the warehouse & obtain inventory from laundry.


• Compile Inventory status reports.


• Perform other work as assigned.

EDUCATION and/or EXPERIENCE 

• High School diploma or GED preferred.


• At least one year of experience in the Hospitality industry and/or dispatch background. Ideal candidate will have hospitality experience preferably within a resort or customer service-based environment. 

QUALIFICATIONS: 

• Must be at least 18 years of age.


• Must be able to work weekend and holidays.


• Must develop and maintain accurate inventory and operational cleanliness with the operations team.


• Must have demonstrated exceptional verbal and written communication skills.


• Must be able to multitask in a high-pressured environment.


• Must have good customer service and verbal/written communication skills.


• Knowledge of Excel.


• Knowledge of basic arithmetic and business English.


• Knowledge of inventory record keeping methods.


• Ability to establish and maintain an effective working relationship with other employees.


• While performing the duties of this job, the employee must be able to exert up to 50 pounds of force occasionally and /or up to 20 pounds of force frequently, and / or up to 10 pounds of force constantly to move objects. The position requires climbing, kneeling, walking, stooping, reaching and pulling.
