JOB SUMMARY:

Under general This position supports the Federation’s mission and vision by demonstrating a commitment to exemplary customer service, as well as a collaborative spirit, equality, fairness, respect, and accountability. Supervision of Senior Counsel, this position provides administrative and support for Senior Counsel and backup support for the General Counsel and Executive Offices. Additionally, this position provides a broad range of administrative duties support functions in the Legal Department. The environment is fast-paced and requires work with highly confidential and sensitive information. 

 

Duties and Responsibilities:

 

  1. Rule Change Coordinator 

 

Rule Change Management

  • Develop and maintain a comprehensive understanding of the organization's existing rules and regulation framework.
  • Manage the rulebook and ensure approved rule changes are timely incorporated in the rulebook and published to the membership 
  • Serve as the main point of contact through the rule change process
  • Train staff and stakeholders on how to submit rule change proposals
  • Collaborate with various departments to identify areas where the rule change process can be more efficient and user-friendly. 
  • Assist with reviewing proposed changes to existing rules, ensuring they align with organizational objectives and regulatory requirements.
  • Assist with the development of a more efficient process for the submission, evaluation, and approval of rule change proposals, resulting in better quality rule drafting.

 

Communication and Training

  • Effectively communicate proposed rule changes to all stakeholders, including senior management, department heads, and employees, in coordination with the communications department.
  • Conduct training sessions and workshops to educate employees about new rules and their implications.
  • Create and distribute clear, concise documentation outlining new rules and any relevant procedures or guidelines.

 

Compliance and Monitoring

  • Ensure that all rule changes are consistent with existing rules in terms of nomenclature and formatting and ensure they are error free. 
  • Conduct regular audits and assessments to evaluate the effectiveness of rule changes and identify areas for improvement.

  1. Transactional Work

 

Matter Management

  • Manage and track legal requests, with the ability to produce data analytics. 
  • Assist Senior Counsel with timely completion of commercial agreements.

 

Document Preparation & Retention

  • Draft, proofread, and format legal documents, such as letters of agreement.
  • Ensure accurate filing and retention of legal documents
  • Assist Senior Counsel with gathering documents in response to subpoenas.
  • Assist Senior Counsel with gathering of documents and preparing papers for disciplinary proceedings.

 

  1. General Administrative Support
  • Maintain office supplies, handle phone calls, mail, emails, and correspondence on behalf of legal staff.
  • Assist legal staff with tracking and meeting deadlines.
  • Manage the filing and retrieval of documents in both physical and electronic formats. 
  • Provide administrative support to General Counsel , Senior Counsel, and other legal staff. Provide back-up support for executive staff.

Required, Knowledge, Skills & Abilities:

  • Strong understanding of organizational policies, procedures, and regulatory frameworks.
  • Excellent communication and interpersonal skills, with the ability to effectively convey complex information to diverse audiences.
  • Strong analytical and problem-solving skills, with a keen attention to detail.
  • Ability to work independently and as part of a team, managing multiple projects and deadlines concurrently.
  • Proficiency in using office software, such as Microsoft Office Suite, and compliance management tools.
  • Ability to exercise good judgment and use discretion to maintain confidentiality and handle sensitive information.

 

Education and Experience:

  • Associate’s or higher degree in paralegal or related field preferred.
  • Proven experience in rule change management, regulatory compliance, or a similar role.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything above 25 pounds requires a two person lift)
