JOB SUMMARY


The Office Administrator is an entry-level position assigned to the company’s Infrastructure and Expansion Department. The successful Office Administrator is an experienced, energetic, and consummate professional who handles a wide range of administrative tasks


in an office environment. The Office Administrator should be able to work independently with little or no supervision. The ideal candidate is well organized, flexible, and enjoys the administrative challenges of supporting a team of diverse people in a growing company.




WHAT ARE YOUR ASSIGNMENTS



  • Provide exceptional customer service to internal and external stakeholders regarding mail-related matters.

  • Receiving, sorting, and distributing incoming mail, packages

  • Process outgoing mail, including packaging, labeling, and coordinating with courier services for timely delivery.

  • Maintain accurate records and tracking of all incoming and outgoing mail using designated systems or tools.

  • Ensure that all mail and packages are accurately addressed, labeled, and documented.

  • Collaborate with departments to ensure proper handling and distribution of interoffice mail and documents.

  • Assist in coordinating bulk mailings and preparing materials for distribution.

  • Maintain the organization and cleanliness of the office, including restocking supplies and maintaining equipment.

  • Handle confidential and sensitive materials with discretion, following company policies and procedures.

  • Respond to mail-related inquiries from employees, clients, and external partners in a professional manner.

  • Address any mail delivery issues, such as incorrect addresses or missing items, and resolve them promptly.

  • Stay updated on postal regulations and best practices to ensure compliance and efficiency.

  • Assist in other administrative tasks or projects as assigned by management.

  • Assist in reserving onsite meeting space as needed

  • Initiate software installations and updates on office computers for company systems such as Google Workspace, Slack, Zoom, and DialPad.




WHAT YOU HAVE ALREADY ACHIEVED



  • A high school diploma or equivalent, as well as additional relevant training or certifications, are a plus.

  • Five years of experience in administrative support functions

  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms.

  • Technical aptitude with the ability to adapt, learn quickly, and teach others

  • Experience in mobile technologies (Slack, email, Dialpad, Push Notifications)

  • Google Sheets, Google Docs, Google Drive, etc.
