JOB DESCRIPTION:
A petroleum dispatcher coordinates the delivery and transportation of petroleum products, ensuring efficient and timely distribution to various locations. This role requires strong organizational skills, attention to detail, and effective communication abilities to manage logistics operations and maintain compliance with safety regulations. Other related tasks as requested by supervisor as needed.
This position will be a rotation of 4 days working, followed by 4 days off. This position may include some on call time to which may be necessary for you to take calls on nights and/or weekends.
RESPONSBILITIES
1. **Scheduling and Dispatching:**
- Schedule and dispatch petroleum transport vehicles based on customer orders, delivery schedules, and route efficiency.
- Coordinate with drivers to ensure timely deliveries and pickups.
2. **Logistics Management:**
- Plan and optimize delivery routes to minimize costs and improve efficiency.
- Monitor and track vehicle locations and status using GPS and other tracking systems.
- Adjust schedules and routes in response to traffic conditions, weather, and other variables.
3. **Communication:**
- Maintain clear and consistent communication with drivers, customers, and other stakeholders.
- Provide drivers with detailed instructions regarding delivery locations, safety procedures, and special instructions.
4. **Documentation and Reporting:**
- Maintain accurate records of deliveries, fuel consumption and other relevant data.
5. **Customer Service:**
- Address customer inquiries, concerns, and complaints in a professional and timely manner.
- Ensure high levels of customer satisfaction by meeting delivery schedules and addressing any issues promptly.
6. **Safety and Compliance:**
- Ensure all transportation activities comply with federal, state, and local regulations, including safety and environmental standards.
- Provide training and guidance to drivers on safety protocols and procedures.
7. **Inventory Management:**
- Monitor inventory levels of petroleum products and coordinate with suppliers to maintain adequate stock.
- Ensure accurate record-keeping of product quantities and delivery receipts.
8. **Problem-Solving:**
- Quickly identify and resolve any issues related to transportation, such as vehicle breakdowns, delays, or route changes.
- Implement contingency plans to address unexpected disruptions in the delivery schedule.
9. **Collaboration:**
- Work closely with the sales and operations teams to align delivery schedules with business needs.
