The Volunteer Coordinator at Valley Crisis Center (VCC) plays a pivotal role in managing and enhancing the volunteer program. This position ensures the effective recruitment, training, and engagement of volunteers, aligning with the organization’s mission to provide support and services to individuals impacted by domestic violence, sexual assault, and human trafficking. The Volunteer Coordinator collaborates with various departments to maintain compliance with training standards, ensures proper documentation, and fosters meaningful volunteer experiences.

This position will be expected to work Monday – Friday, 8:00am – 5:00pm, with occasional weekends, and rotating on-call status.

 

Essential Duties

Volunteer Recruitment and Onboarding:

  • Actively recruit volunteers through community outreach, partnerships, and events.
  • Screen potential volunteers and match them with appropriate roles based on skills, availability, and organizational needs.
  • Coordinate Live Scan background checks and ensure timely clearance for volunteers prior to engagement.
  • Maintain accurate volunteer files, including Live Scan results, driving records, and training certifications.
  • Ensure all volunteers working with clients or agency vehicles meet eligibility requirements.
  • Regularly review and update training materials and procedures
  • Monitor adherence to documentation standards for privileged communications and grant compliance.

Training Coordination:

  • Oversee volunteer training programs, including DV/SA 101, continuing education, and CSEC-specific modules.
  • Coordinate volunteer participation in CPEDV (California Partnership to End Domestic Violence) training and ensure timely completion of all 13 modules.
  • Create schedules and deadlines for training completion and monitor progress.
  • Facilitate shadowing opportunities and supervise training hour documentation.

Continuing Education Requirements:

  • Ensure compliance with HRSA (Human Relations and Sexual Assault) training requirements, tracking eight hours of annual continuing education per volunteer.
  • Schedule or recommend webinars and all-staff meeting trainings that fulfill HRSA guidelines.
  • Document attendance and ensure proper certification maintenance.

Volunteer Engagement and Retention:

  • Develop meaningful volunteer opportunities across various categories (e.g., outreach, shelter support, legal assistance, crisis intervention; documentation).
  • Provide regular updates and maintain consistent communication with active and inactive volunteers.
  • Create recognition programs and initiatives to retain and celebrate volunteers.

Program Development:

  • Collaborate with leadership staff to identify and address program needs, enhancing the volunteer experience.
  • Assist with planning and executing events and community outreach efforts.
  • Develop resources, templates, and guides to streamline volunteer processes, including certification creation and training materials.

Crisis Intervention & Advocacy

  • Provide emergency transportation;
  • Connect clients with legal and counseling services that are out of VCC's scope of work;
  • Communicate with law enforcement and other agencies as needed to support client programmatic and safety needs;
  • Follow up with clients 1-2 days after initial contact to safety plan and offer available services and resources;
  • Respond to crisis calls after hours and on weekends through the crisis hotline or in person on a rotating on­call basis.
  • Maintain the client confidentiality in files, conversations, or obtained from written sources;
  • Maintain a professional demeanor when working with clients and community partners.

General Duties:

  • Compile documentation necessary for statistical reports and case records in a timely manner.
  • Participate in trainings for professional growth and development;
  • Participate in all mandated staff meetings during business hours;
  • Adhere to agency values and mission statement;
  • Keep current on available resources to clients;
  • Other duties as assigned within the scope of job classification

Additional Responsibilities

  • Helps maintain shelter cleanliness and beautification, maintains office supply inventory and lets Supervisor know ordering needs;
  • Attend program and agency staff mandatory meetings

 Other Duties

  • Other duties as assigned
  • Participate on the VCC 24-hour Crisis Hotline Back Up Calendar
  • Adhere to all Alliance values, standards, policies, and mission/vision statement
  • Represent the Alliance in the community in a professional and competent manner

 

Qualifications and Education Requirements

Education/Experience:

  • High School Diploma/GED; college preferred;
  • One (1) year experience in social service settings preferably working as an employee or volunteer, providing services to a diverse group of individuals or equivalent experience in volunteer management/non-profit work
  • Familiarity with domestic violence, sexual assault, and human trafficking serves preferred
  • Complete HT training, as well as 40-hour domestic violence and 40-hour sexual assault counselor training upon hire;
  • Complete first aid/ CPR certification upon hire.

Knowledge of:

  • Office Equipment Operation (phone, fax, copier, alarm, etc.)
  • Technology and Software Programs (Word; Excel; Internet);
  • Trauma-Informed Care;
  • Current social, economic and health problems and of human behavior and social functioning;

Ability to:

Physical Requirements:

  • Facility to see read and distinguish printed and handwritten documents
  • Facility to hear and understand speech at normal room levels, and to hear and understand speech on the telephone
  • Facility to constantly use hands and arms to input data into computer and use adding machine
  • Ability to move boxes of files from one location to another; physical agility to lift and carry up to 20 pounds, and to bend, stoop, walk and reach overhead
  • Ability to sit for extended periods of time
  • Must be able to concentrate for long periods of time
  • Mental acuity to perform the essential functions of this position in an accurate, neat, timely fashion; to make good judgments and decisions; and to evaluate the results of decisions and judgments

 

 ​Other Requirements: 

  • Must complete finger printing and background check upon hire, at Alliance expense.  Failure to pass fingerprint clearance or background may result in withdrawal of job appointment 
  • Must have reliable transportation, a valid driver’s license, and DMV clearance 
  • Must have and maintain active auto insurance policy 
  • The Alliance highly recommends vaccination against COVID-19, although staff are not required to be vaccinated.
