JOB TITLE: Volunteer Coordinator                                         Non-exempt


 


REPORTS TO: Director of Development                                 PAY RANGE:  $20-$24/Hour

JOB SUMMARY: Responsible for supporting and strengthening The Food Depot’s robust volunteer program, including but not limited to leading volunteer projects, implementing risk management procedures and recruitment strategies, onboarding and scheduling volunteers, and assisting with additional administrative tasks deemed necessary. 


 


PRINCIPAL RESPONSIBILITIES:




Leads Volunteer Projects (70%):



  • Supervises volunteers in warehouse and during TFD at Siler, as well as at off-site locations, including but not limited to TFD Pantries, Casita de Comida, Food Mobiles, etc., as needed.

  • Supervises evening and weekend volunteer shifts, as needed;

  • Prepares volunteer workspaces by partnering with operations, preparing equipment, organizing supplies, etc.;  

  • Provides clear and thorough instructions to volunteers

  • Leads projects by example, working alongside volunteers, as needed;  

  • Supports volunteers by answering questions, providing supplies, proper training, etc.;

  • Assists operations with breaking down volunteer workspaces by cleaning , preparing equipment, organizing supplies, etc.;  

  • Adapts to changing logistics and problems as they arise, reaching out to leadership, as needed;

  • Communicates needs, inventory, and issues with Operations, Volunteer Engagement, and/or the Leadership Teams, as necessary; 

  • Assists with scheduling and coordinating large numbers of volunteers across multiple shifts/projects, including outside organizations and volunteer groups;

  • Primary point person to welcome and check-in volunteers before volunteer shifts, twice daily, meeting with operations team counterparts before check-ins to coordinate projects and volunteer expectations




Volunteer Recruitment and Onboarding (20%):



  • Assists with onboarding volunteers by providing prompt communications via phone and email, processing applications, and ensuring setup via volunteer database;

  • Assist with hosting orientation for onboarding volunteers to be set up for success with proper expectations 



  • Assists with fielding questions, screening and enrolling applicants, and signing off on court-ordered community service workers;

  • Creates a welcoming environment through providing excellent customer service and volunteer appreciation;

  • Processes court-ordered community service applications and interfaces with court-ordered volunteers to facilitate their service;

  • Maintains logs and files organized and up-to-date, prioritizing sensitivity and accessibility.


 


Implements Volunteer Training, Appreciation, and Risk Management Procedures (10%): 



  • Fosters a culture of safety by prioritizing risk management; supporting the implementation of volunteer training and screening measures according to current public safety and organizational guidelines; reports incidents, accidents and unsafe conditions to appropriate supervisor(s) and operations;

  • Assists in producing trainings and informational content directed towards boosting volunteer education and confidence;

  • Communicates policies, announcements, and updates from team/teams to volunteers when they arise.




Other: 



  • Works evenings and weekends, as needed, and is consistently at work and on time;

  • Maintains positive relationships with volunteers, partners, donors, and the public;

  • Handles food according to safe food handling practices;

  • Assists in the maintenance and care of the facility and equipment;

  • Assists in the safety and sanitation of facilities and equipment through compliance with The Food Depot guidelines and any applicable local, state or federal laws or regulations;

  • Contributes to building a positive team spirit; puts success of team above own interests;

  • Complies with all The Food Depot policies, procedures and systems;

  • Performs related duties as required or assigned, assisting other departments, as requested; 


 


Qualifications: 



  • High School Diploma or equivalent experience with nonprofits or office administration;

  • Demonstrate a commitment to the mission and values of The Food Depot;

  • Ability to clearly, concisely and effectively communicate in verbal and written communications;

  • Have excellent customer service skills and be able to interface with many diverse populations, various age groups and people with special needs;

  • Customer service background strongly preferred, but not required;

  • Strong organizational skills, work ethic and attention to detail;

  • Ability to prioritize and meet deadlines; 

  • Proficient in Microsoft Office and Gmail calendars and be able to use general office equipment such as phone system, copier, scanner, etc.;

  • Ability to learn and adapt to changing technologies;

  • Willing and able to attain Food Safety for Handlers Card;



  • Able to work an irregular schedule including early mornings, evenings, and weekends, as needed; 




Physical Environment and Working Conditions: 



  • Employee will spend approximately 70% of the time working in a warehouse/outdoor environment; approximately 30% of the time in an office/desk environment;

  • Must have a valid driver’s license; 

  • Must be able to maintain productivity in a shared workspace; 

  • Employee must be able to walk on variable surfaces, bend and lift up to 50 lbs., conduct repetitive motion, and work around machinery;

  • Willingness and ability to learn and operate a pallet jack;

  • In the office environment, employee must utilize paper and electronic documents, a keyboard, computer, phone, and printer to perform necessary job requirements;  

  • When in the warehouse or working in the field, employee must utilize manual and automatic pallet jacks, scales, pallet shrink wrap and other equipment;



  • Ability to travel in Northern New Mexico as needed (using company vehicle (preferred) or personal vehicle (if necessary) with mileage reimbursement);



  • This is a drug-free workplace;
