We’re looking for a
HR Administrator
Based in Richmond and reporting to US HR Business Partner, this newly created role will assist the Global HR team as well as provide support for our employees.
The HR Administrator will support and, where relevant, lead on key processes throughout the employee lifecycle, including onboarding and offboarding, contractual and HRIS updates.
This role will also support the wider HR team, which includes Payroll, Recruitment, Compensation, Benefits as well as the generalist team. In addition, there will be day-to-day dealings with external suppliers, invoicing, and input into payroll preparation.
What you will do
HR General Administration
- Assist with the recruitment and selection processes: this may include drafting job descriptions and advertisements, liaising with recruitment agencies, acknowledging applications, and arranging (and occasionally attending) interviews
- Initiate onboarding for new hires including drafting offer letters, adding to HRIS system and obtaining references
- Process offboarding, including drafting leaver letters, updating HRIS system and issuing leaver notices to all relevant parties
- Deal with first-line HR inquiries in collaboration with the relevant HR Business Partner
- Assist with the administration of the Performance Management cycle and learning & development programs
Compensation, Benefits and Payroll
- Provide E*TRADE administrative support, including inputting employee data into the system and ensuring information is up to date
- Assist with the administration of the annual Compensation review as needed
- Advise employees on the details and eligibility of benefits schemes; ensure that updated schedules are passed to relevant suppliers, and that all renewal/regular payments are arranged on time
- Support the Global Payroll & Benefits Manager on the bi-weekly payroll and benefits process by keeping detailed records of required changes and working with colleagues to implement those changes in the appropriate payroll cycle
- Provide E*TRADE administrative support, including inputting employee data into the system and ensuring information is up to date
HRIS (BambooHR & Rippling)
- Create, maintain, and update employee records on BambooHR & Rippling
- Enhance data quality through standard data management processes so that we have strong HR records and can demonstrate adherence to legal and regulatory requirements
- Set up and run BambooHR reports to support the HR team
- Providing support for other HR projects as needed
What you require for the role
- Experience working in a similar HR administration/Coordinator role
- An instinct to be proactive, collaborative, and helpful to colleagues; following up on tasks appropriately and keeping the team up to date on activities and progress
- Ability to work autonomously
- Adaptable with a willingness to learn and improve services and processes
- Intermediate/advanced MS Excel, PowerPoint, and Word skills
- Excellent level of attention to detail
- Excellent interpersonal skills, with the ability to communicate clearly, concisely to any audience in any medium
- Superior organizational and prioritization skills, capable of responding positively to pressure and multiple priorities
- Experience in a similar HR related position
